Cancellation & Refund Policy

Nordfjord Wild

Effective date: 9 September 2026 (last updated 15 October 2026)

This policy explains cancellation, refunds, rescheduling and activity changes for services booked with Hipponen Opplevingar, trading as Nordfjord Wild.

Read it together with our Terms & Conditions. Mandatory consumer rights always take priority.

1. Business information

Hipponen Opplevingar, trading as Nordfjord Wild
Organisation number: 938 228 655
Address: Tverrgata 3, 6770 Nordfjordeid, Norway
Telephone: +47 466 84 266
Email: info@nordfjordwild.no
Website: nordfjordwild.no

2. Standard customer cancellations

Unless different cancellation conditions were validly agreed for the booking, the following rules apply to guided activities:

  • At least 7 days before the scheduled start: 100% refund.
  • Less than 7 days but at least 48 hours before the scheduled start: 50% refund.
  • Less than 48 hours before the scheduled start: no refund.
  • No-show or arrival too late to participate: no refund.

Cancellation periods are measured backwards from the confirmed activity start time. Seven days means 168 hours. Exactly 48 hours before the start falls within the 50% refund period. Activity times are stated in Norway local time (Europe/Oslo).

Bookings made through a booking platform. If you booked through GetYourGuide, Viator, Airbnb or another booking platform, that platform’s cancellation and refund terms apply, and cancellations or changes must be made through the platform. Our rules about safety, the guide’s decisions and the activity itself still apply.

The illness and cruise non-call exceptions take priority over the standard cancellation deadlines and no-show rule where their conditions are met.

Separately purchased trip-planning services follow Sections 15 and 16.

Different booking conditions apply only if clearly disclosed and accepted before the booking became binding, or subsequently expressly agreed by both parties. An invoice or booking confirmation does not by itself introduce new conditions.

3. How to cancel

For an ordinary contractual cancellation, email booking@nordfjordwild.no with your name, booking reference if available, activity date and the participants or services being cancelled.

The relevant time for cancellation by email is when the message reaches our email system, not when a member of staff reads it. We will acknowledge the cancellation. Keep a copy of your message.

For a statutory right of withdrawal, different timing rules apply: the deadline is met if the withdrawal notice is sent before the withdrawal period expires. See Section 16.

4. Illness

If an individual participant cannot take part because of illness, Nordfjord Wild will provide a 100% refund of the amount paid for that participant where reasonable documentation confirms that they were unable to participate on the booked date.

Only information needed to verify inability to participate is required. A detailed diagnosis or unrelated medical history is not required. Contact us before sending medical documentation so that we can explain what is needed and how to provide it.

We may request reasonable verification of eligibility. Please notify us as soon as reasonably possible.

The refund applies only to the affected participant’s applicable share of the booking price. Other participants remain booked unless they separately qualify for cancellation or a refund.

For example, if one participant in a six-person booking qualifies for an illness refund, the other five do not automatically receive a refund.

Information supplied for the request is handled under our Privacy Policy.

5. Customer-requested changes

We will try to accommodate requests to change:

  • The activity date.
  • Participant names.
  • The number of participants.
  • The activity or service.

Changes depend on availability and are not guaranteed.

Before a change is agreed, we will explain any additional payment, refund or applicable cancellation charge. A cancellation charge applies only where supported by the conditions already agreed for the booking.

Reducing participant numbers may count as cancellation of the places removed. This will be explained before the change is accepted.

If we cannot accommodate the requested change, the original booking remains in place unless the customer cancels under the applicable cancellation rules.

6. Cruise non-call guarantee

If a booking is connected to a cruise visit and the customer’s ship does not call at the scheduled port on the booked date for any reason, the affected customer will receive a 100% refund for the booked activity.

This includes itinerary changes that remove the port call. We may request reasonable evidence of the ship, affected call and connection to the booking.

Providing the ship’s name in advance is helpful, but is not a condition of the guarantee if eligibility can otherwise be established.

A delay where the ship still calls at the scheduled port does not automatically qualify. Contact us promptly if a delay affects participation; we will try to find a practical solution.

Return to the ship

For activities connected to a cruise visit, departure and return times are planned so that participants are back at the cruise terminal no later than 60 minutes before the all-aboard time the customer gave us when booking. Please give the correct all-aboard time (ship’s time) when you book, and tell us if it changes.

If a participant misses the ship’s departure because of a delay caused by Nordfjord Wild, we will arrange and pay for reasonable transport to the ship’s next port of call. If such transport cannot be arranged, we will refund the activity and cover reasonable, documented costs of rejoining the ship. This commitment does not apply where the delay is caused by the participant (for example late arrival at the meeting point, leaving the group, or not following the guide’s instructions), by incorrect all-aboard information given to us, or by circumstances outside our control.

7. Planned departures for cruise visitors

Online booking for planned departures closes 15 hours before the scheduled start, unless the departure has already reached its minimum number of participants, in which case online booking stays open until 10 minutes before the start. Requests after that, by telephone, WhatsApp or email, are handled case by case and are only confirmed when we reply; there is no entitlement to a late booking.

Customers must be ready at the stated meeting point in time for departure. The activity cannot normally wait for late participants.

The ordinary no-show rule applies to late arrival, subject to the exceptions and mandatory rights described in this policy.

8. Minimum participant numbers

The following minimums apply to relevant planned group departures unless different conditions were disclosed and agreed for the booking:

  • Ossætra Ridge Walk: 3 participants.
  • Trollenykjen: 2 participants.
  • Bjørneskarnakken: 4 participants.

We will try to keep customers informed if a departure may not reach its minimum.

For planned cruise-day departures, cancellation for insufficient participants will be communicated as soon as possible after online booking closes, normally the evening before, and no later than 45 minutes before the scheduled start.

9. Refund when minimum participation is not reached

If we cancel because the minimum number of participants has not been reached, customers may choose a 100% refund.

We may also offer an alternative activity or rescheduling where practical. The customer does not have to accept either option.

An accepted replacement with a lower applicable price is subject to the price-difference refund in Section 12.

10. Weather and customer preference

Rain, wind, cloud or an unfavourable forecast does not by itself mean an activity is unsafe. The guide makes the operational safety decision.

If the booked activity can safely proceed, a customer who cancels because of weather preference remains subject to the normal cancellation rules.

This does not override the rights concerning material changes in Section 11.

11. Safety-related changes and materially different activities

The guide may adjust the route, pace, destination, duration, start time or turnaround point where reasonably necessary because of weather, conditions, access, participant ability, emergencies or other safety considerations.

Reasonable minor adjustments within the agreed nature and difficulty of the activity do not automatically create a right to a full refund.

If, before the activity starts, we propose a change that materially alters its agreed nature, difficulty, duration or timing, we will explain the change. The customer may accept it, choose available rescheduling or decline it and receive a 100% refund for the affected activity.

Whether a replacement is materially different depends on the experience and arrangements agreed, not only its price.

If changes become necessary during an activity, the guide may take immediate safety action. Any entitlement to a price reduction or another remedy for a material reduction in the service remains unaffected.

12. Replacement with a lower-priced activity

If the customer accepts a replacement activity, we will confirm its applicable price before acceptance.

Where that price is lower than the amount paid for the original activity, we will refund the difference. The calculation takes account of the relevant participants, departure and applicable discounts.

For example, if the amount paid was NOK 990 per person and the applicable replacement price is NOK 690 per person, the refund is NOK 300 per person. This example is illustrative and does not fix the price of any particular activity.

Any additional payment for a replacement requires the customer’s express agreement.

Offering a replacement does not remove the full-refund choice following an operator cancellation or a proposed material change covered by this policy.

13. Cancellation by Nordfjord Wild

We may cancel where an activity cannot reasonably or safely be provided. Reasons can include:

  • Dangerous weather or unsafe mountain, trail, snow, ice or water conditions.
  • Road or access closures.
  • Guide illness or unavailability.
  • Emergencies.
  • Insufficient participant numbers.
  • Other circumstances preventing reasonable and safe operation.

If we cancel and the customer does not accept an alternative, the customer may choose:

  • A 100% refund of the amount paid for the cancelled activity; or
  • Rescheduling without an additional activity charge, subject to availability.

A reasonable minor adjustment under Section 11 is not a complete cancellation. The rights concerning material changes remain applicable.

14. No-show and late arrival

Customers are responsible for arriving at the stated meeting point in time for departure.

A participant who does not arrive or arrives too late to take part does not normally receive a refund. The illness and cruise non-call exceptions still apply where their conditions are met, as do mandatory legal rights.

Other exceptional circumstances may be considered individually, without a guaranteed refund.

15. Voluntary cancellation of trip-planning services

The following voluntary policy applies to separately purchased trip-planning services:

  • Before we start work: 100% refund.
  • After we start work: no voluntary refund is guaranteed.

After work starts, we may agree a full or partial refund, amendment, credit or another solution, depending on the circumstances and work completed.

This voluntary policy does not override statutory withdrawal rights or remedies for a service that has not been provided as agreed.

16. Statutory withdrawal rights for trip-planning services

Consumers purchasing our separately supplied advisory trip-planning service online have the right to withdraw without giving a reason within 14 days of the date the contract is concluded.

To withdraw, notify us through a clear statement, such as an email or letter, using these details:

Hipponen Opplevingar, trading as Nordfjord Wild
Tverrgata 3, 6770 Nordfjordeid, Norway
Email: info@nordfjordwild.no
Telephone: +47 466 84 266

You may use the standard withdrawal form below, but you do not have to. Providing a booking reference is helpful but is not a condition of withdrawal if the contract can otherwise be identified.

The deadline is met if your withdrawal notice is sent before the withdrawal period expires. We will acknowledge receipt of a withdrawal notice submitted electronically.

Starting work during the withdrawal period

We will begin work during the withdrawal period only if you expressly request early performance. Paying for a package or submitting travel preferences does not by itself constitute that request.

If you validly withdraw before completion after requesting early performance, you may have to pay a proportionate amount for the service supplied up to the time you notify us of withdrawal. This applies only where we have given the required information and the other statutory conditions are met.

If the required early-start request or information is missing, we will not charge for work under this rule.

The withdrawal right ends after full performance during the withdrawal period only if you expressly requested early performance and acknowledged that full performance would end that right. Full performance includes all agreed obligations, including any outstanding revisions.

Reimbursement following withdrawal

Following valid statutory withdrawal, we will reimburse the payments received, less any proportionate payment lawfully due for early performance.

Reimbursement will be made without undue delay and no later than 14 days after we receive your withdrawal notice. We will use the original payment method unless you expressly agree otherwise. We will not charge a refund fee.

If required information about the withdrawal right has not been supplied, the withdrawal period may be extended under the Norwegian Right of Withdrawal Act. Nothing in this policy restricts such an extension.

Standard withdrawal form

Complete and return this form only if you wish to withdraw from the contract. Delete whichever alternatives do not apply.

17. Dated outdoor activities and withdrawal rights

Guided hikes and other leisure activities booked for a specific date or period fall within the relevant exception to the ordinary statutory 14-day right of withdrawal under the Norwegian Right of Withdrawal Act.

The contractual cancellation rights in this policy still apply. Other mandatory consumer rights remain unaffected.

18. Private tours and custom bookings

Private tours, large-group bookings and individually quoted arrangements may have different cancellation conditions.

Those conditions apply only if clearly disclosed and accepted before the booking became binding, or subsequently expressly agreed by both parties. Their appearance on a later invoice or booking confirmation is not sufficient by itself.

Any different conditions must identify what they replace. Mandatory rights, including any statutory withdrawal right for a separately purchased planning service, cannot be removed by agreement.

19. Refund amount

Percentage refunds are calculated from the amount actually paid to Nordfjord Wild for the affected participant, activity or service, including applicable taxes and after any discounts.

An individual participant’s refund is based on their applicable share of the agreed booking price. Any amount already refunded for the same participant or service is taken into account.

Replacement-activity price differences are calculated as described in Section 12.

20. Processing refunds

Refunds due under this policy will be processed without undue delay using the original payment method unless another method is expressly agreed. We do not charge a refund administration fee.

For statutory withdrawal, the specific 14-day reimbursement deadline in Section 16 applies.

Online payments may be refunded through WooPayments and its payment partners. After the refund is processed, the payment provider or bank may need additional time to display it in the customer’s account.

Refunds are made in the original transaction currency, normally Norwegian kroner. Exchange-rate movements and independent bank charges may affect the amount shown in another currency. This does not limit any responsibility imposed on us by law.

21. Other expenses

A refund of the activity price does not automatically include separate expenses such as flights, cruise fares, accommodation, vehicle hire, transport to the meeting point or other reservations.

Any legal entitlement to compensation remains unaffected.

Customers are encouraged to consider travel insurance suitable for their plans and activities.

22. Mandatory rights and policy changes

Nothing in this policy limits a right, remedy or protection available under mandatory Norwegian or other applicable consumer law.

The version accepted when a booking becomes binding applies to that booking, unless a change is required by law or expressly agreed with the customer.

A later policy update does not by itself reduce rights attached to an existing booking.
